5 Printer Features That Will Save You Time and Money
Published By: Eric Johannson | Mon Aug 16, 2021
You’d be surprised at how drastically a few functionality additions can increase your team’s productivity.
We know that investing in better workflows coupled with quality technology can help take your business to new heights.
We’ve witnessed this first hand with our own customers and we’ve thoroughly enjoyed following their success. And the great news is, you can be more productive on your existing copier—no add ons needed.
The right office printer can help boost your team’s efficiency which will inevitably increase morale within the entire organization.
That being said, today we are going to show you how to get more use out of your existing copiers.
1. You can print from your mobile device (or tablet).
This feature is really handy. Once you and your team have access to mobile printing, you won’t want to go back. It allows you to easily print from anywhere in the office (because let’s be honest, you almost always have your cellphone on you). This saves time and a lot of pointless emails from your mobile phone or tablet to your desktop computer.
2. You can (and should) re-order your ink and toner automatically.
Re-ordering print supplies is a tedious task. You either forget to order it until it’s too late (and your team is left without a working printer for days...or weeks…) or you can’t find the information you need to successfully and quickly get the ink or toner you need. Either way, it’s time-consuming and frustrating. You should consider automatic ink and toner replenishment. It’s a solution that can save you a significant amount of time (and keep your team happy).

3. Make your scanned documents easier to find on your computer with OCR.
Most new printers are built with this functionality. It is convenient and gives businesses the opportunity to better analyze their data.
What is it?
This is typically referred to as Optical Character Recognition (OCR). It is software that converts printed copy into a digital format, all while updating a searchable database so that you can easily find what you’re looking for at any time.
Where does the data go?
It depends on the device. Some devices store the data on their internal hard drive, while others offer the ability to push the data to a cloud database.
4. Print release—a secure solution for your office.
With the increase in cybercrime, “print release” has become a highly sought-out feature. Here’s why.
-
It reduces the risk of anyone getting their hands on confidential company information.
-
Documents are only released when a badge is swiped or log-in info is entered into the printer’s panel.
-
It reduces the number of uncollected files (almost always left in the print release tray). This is important when it comes to company security, but it also saves your company money because you won’t be paying for print jobs that never get picked up.
-
There is also an option (which can be extremely useful in larger organizations), where users can collect their print jobs from any printer in the office—as long as they type in their log-in information or swipe their badge.
5. Scan to email / file.
The scan to email and/or file function is a huge time-saver. With this, you can scan a document on your printer and save it as a PDF or a document, which can then be sent via email to yourself, a client, or a co-worker.
This takes away the ridiculous step of having to go back to your computer to then send it off. While it may not seem like much, it’s still saving you and your team time—considering every employee in your office this can amount to more than you think.
Print technology has come a long way and you’d be doing yourself (and more importantly, your team) a disservice if you didn’t explore your options. Our recommendation? Take advantage of the features available to you on your print devices—your team will thank you.
